Bring Your Own WhatsApp Business Account for Event Communication

Send registration confirmations and WhatsApp campaigns from your own WhatsApp Business Account number — for both India and international events.

WhatsApp has become a key channel for event communication, helping organizers share information, send confirmations, and stay connected with participants before, during and after the event.

Until now, all WhatsApp messages sent via KonfHub were delivered through KonfHub’s default number. While effective, many organizers wanted greater control, stronger branding, and the ability to communicate from their own verified WhatsApp number.

To meet this need, KonfHub introduces Bring Your Own WhatsApp Business Account, allowing organizers to connect and use their own WhatsApp Business Account directly from the platform.

This feature is available only for the Gold plan and supports both India and international events.

What is Bring Your Own WhatsApp Business Account?

Bring Your Own WhatsApp Business Account allows organizers to integrate their own WhatsApp Business number with KonfHub and use it for:

  • Registration confirmation messages

  • Event-related WhatsApp communications

  • Scheduled and instant WhatsApp campaigns

Once enabled, all selected WhatsApp communication is sent from the organizer’s connected WhatsApp number.

Part 1: Connecting Your WhatsApp Business Account to KonfHub

Connecting your own WhatsApp Business Account requires a one-time enablement from the KonfHub platform for your event.

Step 1: Enable the feature

This feature is available only on the Gold plan. Organizers need to contact the KonfHub team to request enablement for integrating their own WhatsApp Business number.

Step 2: Connect your WhatsApp Business Account

Once enabled, you can complete the configuration and connect your WhatsApp Business Account to KonfHub.

After a successful connection, your WhatsApp Business number becomes available as an option within the platform.

Step 3: Switch from KonfHub WhatsApp to your own number

You can now choose whether WhatsApp messages should be sent via:

  • KonfHub’s default WhatsApp number, or

  • Your own connected WhatsApp Business number

This setting can be controlled at the event level.

Part 2: Sending WhatsApp Messages from Your Own Number

Once your WhatsApp Business Account is connected, you can start using it for both registration confirmation messages and WhatsApp campaigns.

Sending Registration Confirmation Messages

Organizers can automatically send WhatsApp confirmation messages when a participant’s ticket is successfully booked.

How it works:

Go to Event Info >> Tickets

  1. Enable WhatsApp communication in the ticket settings

  2. Choose a WhatsApp template from your connected WhatsApp Business Account

    Note: Only templates that are already created and approved in your WhatsApp Business Account will appear for selection in KonfHub.

    Steps to create/manage WhatsApp message templates:

    1. Go to business.facebook.com

    2. Navigate to Settings section and select "WhatsApp accounts" under "Accounts" section

    3. Select the WhatsApp account you want to use

    4. Click on the three dots next to the WhatsApp account name, and select "WhatsApp Manager"

    5. A new page will be opened in a new tab. Select "Manage Templates" under the "Message Templates" section on the left side

    6. Click on "Create template"

  3. Add the content to the template

    Organizers can preview the message by sending a test WhatsApp message before saving it.

  4. Once a ticket is purchased, the configured / selected WhatsApp registration confirmation message is sent automatically from your WhatsApp account.

    Launching WhatsApp Campaigns

    Event organizers can also use their own WhatsApp number to send targeted WhatsApp campaigns to the registered participants.

    How campaigns work:

    Go to Contact Attendees >> Whatsapp, click on Launch Campaign and provide campaign details like campaign name, select the ticket for which campaign is to be launched, etc.

    1. Choose from the available whatsapp template (the template must first be added and approved in your WhatsApp Business Account before it becomes available in KonfHub)

    2. Provide the content by entering the placeholder values for the WhatsApp template variables.

    3. Test the WhatsApp message by sending some test messages.

    4. Launch the campaign or schedule it for a later time

Common campaign use cases include:

  • Event reminders

  • Day-before and day-of-event instructions

  • Agenda or session highlights

  • Referral and promotional messages

  • Post-event surveys

  • Certificate or badge distribution
