Simplifying IEEE Member Verification for Your Events on KonfHub

KonfHub is glad to introduce IEEE membership validation feature, wherein organizers can easily verify a participant’s IEEE membership using their email address or membership number during registration. This ensures accurate validation for member-only benefits like discounted tickets—without any manual effort. This blog outlines how to use this feature if you are hosting an IEEE event with event ticketing in KonfHub.

IEEE Chapter Events and Conferences

IEEE (Institute of Electrical and Electronics Engineers) is the world’s largest technical professional organization, dedicated to advancing technology for the benefit of humanity. At the heart of its global presence are IEEE chapter events—local, community-driven initiatives organized by city sections, technical societies, and university student branches. These chapters regularly host workshops, guest lectures, technical talks, hackathons, coding competitions, and networking meetups, creating vibrant spaces for learning and collaboration.

From students taking their first steps in tech to professionals sharing cutting-edge research, IEEE events bring people together to build skills, exchange ideas, and grow their networks. They offer an accessible way to gain industry exposure, collaborate on projects, and develop leadership experience—without the need to attend large international conferences.

Most IEEE events are open to both members and non-members, with members typically enjoying discounted access. However, managing different pricing tiers and verifying membership status can add operational complexity for organizers. To simplify this, KonfHub now offers a seamless solution: a built-in IEEE membership validation feature powered by the IEEE GetMemberStatus API.

What is IEEE GetMemberStatus API?

The IEEE GetMemberStatus API is a simple utility used to check whether someone is an active member of IEEE and what type of membership they have (for example, student or professional). By using basic details like a person’s email address or membership number, the system can quickly confirm if their membership is valid or expired. This is especially useful during event registrations, as it helps organizers verify eligibility and ensure that participants receive the correct benefits or pricing based on their membership status.

What’s New in KonfHub for IEEE membership validation?

Imagine you’re organizing an IEEE conference and want to offer discounted ticket pricing for IEEE members, while keeping a slightly higher price for non-members. A common challenge in this setup is ensuring that only genuine IEEE members are able to access the discounted tickets, without adding friction to the registration process.

With KonfHub, this is now seamless. Organizers can automatically verify a participant’s IEEE membership during registration using their email address or membership number. This ensures accurate validation for member-exclusive pricing, eliminates manual checks, and creates a smooth, reliable experience for both organizers and attendees.

How to use IEEE membership validation during registration?

Once you create an event in KonfHub, you’ll be taken to the event’s admin dashboard. From there, navigate to the Forms section under the Event Info menu (i.e., Event Info → Forms → Pre-defined Forms). You’ll see a list of pre-defined form fields, including “IEEE Membership ID (active and valid 9-digit ID)”, which you can easily add to your registration form.

This form is designed specifically for events where ticket eligibility or pricing depends on IEEE membership status.

  • When you add this form, you’ll will see the following declaration:

“I have read and agree that this form verifies IEEE Membership status via the official API, and only active IEEE members are eligible to purchase tickets.”

You need to check that checkbox to accept that consent.

  • You can choose to change the form name to something shorter (e.g., “Your 9 Digit IEEE Membership ID”).

  • You can choose the tickets for which you are adding this membership ID form. Make sure to add this form field only to the specific tickets where you need to collect and validate the IEEE membership ID.

How the Participant’s Registration Experience Looks Like

Imagine you are a participant registering for an event in which there is a ticket with reduced pricing for IEEE members.

When filling the registration form, you’ll be asked to provide your email address and the membership ID.

  1. Make sure you provide your email address associated with your valid and active IEEE membership. This email id will be validated using the membership API. If your email id has a valid and active IEEE membership, then a blue tick mark will be displayed; otherwise an error message will appear (“Invalid membership ID. Please provide a valid and active membership ID”.

  2. Make sure you provide your IEEE membership number which is exactly 9-digits long; otherwise an error will be displayed and you’ll not be able to proceed further with the registration.

Once the attendee submits their email id and IEEE Membership ID:

  • The system verifies the membership through the official IEEE API

  • Only email ID with active and valid IEEE membership will be accepted to proceed further with the registration

  • This ensures simple, easy and accurate IEEE membership validation without manual intervention.

Note that in KonfHub’s current implementation, membership validation does not distinguish between different IEEE membership types (such as Student or Professional). It simply verifies whether the provided email address and/or membership number corresponds to a valid and active IEEE membership.

Why This Matters

  • Accurate Eligibility Checks

No more manual verification or back-and-forth emails. The system ensures that only valid IEEE members can access member-specific tickets or benefits.

  • Better Event Segmentation

You can confidently create separate ticket types or pricing for: IEEE Members Non-IEEE Participants

  • Seamless Attendee Experience

Attendees get instant validation, reducing friction during registration.

When Should You Use This Feature?

This form is especially useful for events where IEEE membership plays a role in access or pricing. You should consider using it when you want to ensure that only eligible participants can avail member-specific benefits—such as discounted tickets or exclusive access. It’s ideal for scenarios where IEEE membership determines ticket eligibility and where you want a seamless, automated, and reliable way to verify memberships without manual intervention.

Summary on How to Use This Feature

In short, to enable IEEE membership validation feature for your event in KonfHub:

  1. Go to your event dashboard

  2. Navigate to Event Info → Forms

  3. Add the IEEE Membership ID field

  4. Choose the tickets for which you want to enable IEEE membership verification

This feature is available across all KonfHub plans, including the free tier, at no additional cost.

Summary

The IEEE Membership ID form on KonfHub makes it easy to verify member eligibility using the official API, ensuring only active members can access exclusive tickets or benefits. It simplifies event management, improves attendee experience, and helps organizers maintain accurate segmentation—while also reinforcing the importance of responsible data privacy practices. This feature is available for all plans of KonfHub including the free tier.

By integrating automated IEEE membership verification, KonfHub empowers you to run more structured, secure, and efficient events, without adding operational overhead. If you are hosting an IEEE conference or event, and haven’t explored this feature yet, now’s the perfect time to streamline your event registration process.
