KonfHub is an AI-powered, GDPR-compliant platform for seamless ticketing, secure attendee management, and smooth event operations. Say goodbye to complexity and hello to seamless, powerful event management!

Communication plays a critical role in event success. From registration confirmations and ticket delivery to timely reminders, every email you send shapes the attendee experience.

To make event communication more powerful, scalable, and personalized, KonfHub now supports advanced variables and placeholders in email templates and email campaigns. Organizers can dynamically insert attendee data, event details, ticket information, and transactional values directly into emails that too without manual editing.

This feature is available across:

  • Participant email templates

  • Broadcast and targeted attendee communications

Let’s explore how this feature helps you send smarter, more relevant, and highly personalized emails.

What Are Email Variables / Placeholders?

Variables (also called placeholders) are dynamic fields that automatically pull data from your event and attendee records and insert them into the email content at send time.

Simple example. Instead of writing:

Hello Attendee

You can write:

Hello {{Attendee Name}}

And each recipient receives an email with their actual name.

There are LOTS of custom variables you can use / choose from - that’s the benefit we are covering in this blog which can help make your emails hyper-personalized.

No manual edits. No duplication. Fully automated.

Why Personalized Email Communication Matters for Events

Generic emails often get ignored. Personalized emails:

  • Increase open and click-through rates

  • Improve attendee trust and engagement

  • Reduce support queries

  • Deliver clearer instructions

How to Use Email Variables in KonfHub Templates and Campaigns

Using variables in KonfHub email templates and campaigns is simple. You can insert dynamic placeholders directly while composing your email content.

Step 1: Open Email Templates or Email Campaigns

You can use variables in two places:

For automated emails:

  • Go to your Event Dashboard

  • Open Advanced >> Email Templates

  • Choose the template you want to edit (confirmation, reminder, ticket email, etc.)

For Email campaigns:

  • Go to Contact Attendees

  • Click Launch Email Campaign

Step 2 : Open the Email Editor

Inside the email editor, you can compose your subject line and body content just like a normal email.

Write your message structure first — greeting, instructions, links, and call-to-action.

Step 3: Insert Variables / Placeholders

In the editor, you will see the option to insert variables/placeholders. These are usually available through:

  • Placeholder dropdown

  • Select the variables from the list (depending on editor layout)

Step 4 : Preview Before Sending

Before saving or sending:

  • Preview the email by sending a test email

  • Verify that placeholders appear correctly

  • Check formatting and spacing

During preview, variables will render with sample or actual values so you can confirm correctness.

Benefits for Event Organizers

Using KonfHub’s variable-based email system helps you:

  • Send highly personalized emails at scale

  • Reduce manual editing work

  • Avoid copy-paste mistakes

  • Improve attendee engagement

  • Provide accurate ticket & venue information
