Introducing Offline Payments: Register Now, Pay Later

Not every attendee is ready to complete an online payment the moment they register.
For corporate teams, educational institutions, government organizations, and large groups, payments often happen through internal approval processes, bank transfers, cheque payments, or even through cash payments for on-spot registrations.
To support these scenarios, we've introduced Offline Payments, a feature that allows participants to register for an event and complete their payment manually at a later stage.
Whether your attendees prefer bank transfers, cheque payments, or other offline methods, you now have the flexibility to accommodate them without disrupting the registration process.
Here's a more polished, enterprise-quality version that flows better and explains the value proposition more clearly.
Why Offer Offline Payments?
Online payments are fast and convenient for most registrations, but not every attendee or organization can complete payment instantly. Enterprise events, conferences, exhibitions, and B2B events often involve procurement workflows, approvals, or alternative payment methods that don't fit the traditional online checkout experience.
Offline payments bridge this gap by allowing attendees to register first while completing the payment later through invoices, bank transfers, cheques, cash, or other offline methods. This helps organizers reduce drop-offs, secure registrations earlier, and accommodate a much wider range of attendees.
Here are some common scenarios where offline payments become invaluable:
Scenario #1: Corporate Purchase Orders & Invoices
A company's HR or Learning & Development team wants to register 50 employees for your conference. Instead of paying immediately using a credit card, the finance team requires a Purchase Order (PO), vendor verification, and invoice processing before releasing payment.
With Offline Payments, you can create a dedicated ticket category for corporate registrations. Employees can register immediately by selecting the offline payment option, while the company completes the payment later against the invoice. Their seats remain reserved without delaying the registration process.
Scenario #2: Booth Reservations for Exhibitions & Trade Shows
You're organizing an exhibition with an interactive floor plan where exhibitors can choose their preferred booth locations.
An exhibitor selects a premium booth but needs to discuss sponsorship packages, branding options, or contract terms before making payment. Instead of losing the selected booth to another buyer, they can reserve it using Offline Payments while your sales team completes the commercial discussion and collects payment through bank transfer or invoice.
Scenario #3: International Participants Unable to Pay Online
Some participants may be located in countries where international card payments are restricted, unavailable, or frequently declined. Others may simply prefer paying through international wire transfers.
Offline Payments allows these attendees to complete their registration first and pay later through bank transfer, ensuring they don't miss registration deadlines due to payment limitations.
Scenario #4: On-Spot Registrations at the Venue
Many conferences and exhibitions continue accepting registrations on the event day.
Visitors can scan a QR code at the registration desk, complete the registration form on their phone, and choose the Offline Payment option. Your registration team can then collect cash, cheque, or any other accepted payment method at a separate payment counter and mark the registration as paid instantly from the organizer dashboard.
Other Common Use Cases
Offline Payments are particularly useful when registrations involve organizational approval or non-card payment methods, including:
Corporate registrations requiring Purchase Orders (POs) and invoice approvals.
Universities and educational institutions processing payments through centralized finance departments.
Government organizations using cheque-based or departmental payment workflows.
Sponsors and exhibitors making payments through bank transfers.
NGO and association events where payment approvals happen in batches.
Group registrations that require internal financial clearance before payment.
VIP or invite-only attendees who are billed after registration.
Setting Up Your Event for Offline Payments in KonfHub
Offline Payments need to be enabled for your event first.
Note: Offline payments are currently available for international event organizers only (and not for India event organizers).
To activate this feature, contact the KonfHub team. Once enabled, you'll find the option under:
Payments & Taxes → Connect Your Payment Gateway
After activation, you can select Offline Payments as one of the available payment methods for your event.
Note: Offline payments are currently available only for international events (and not for India events).
Customize the Payment Instructions
You can configure offline payments by clicking the Settings gear wheel symbol in the Offline Payments card.
Some organizers accept bank transfers, while others prefer cheques or direct deposits. To make the experience clear for attendees, you can customize the text displayed when participants choose the offline payment option.
This is the place to provide:
Bank account details
Payment instructions
Expected timelines
Contact information for payment-related queries
Any additional notes participants should know before proceeding
Clear instructions reduce confusion and help organizers process payments faster.
Control Which Tickets Support Offline Payments
Not every ticket category needs to offer manual payment options.
You can decide exactly which tickets are eligible for offline payments—both from the global Offline Payments settings and at the individual ticket level.
For example, you might allow:
Corporate passes to be paid via bank transfer.
VIP tickets require immediate online payment.
Student tickets to support institutional payment methods.
If a participant selects a ticket that is not eligible for offline payments, the Pay Offline option is automatically disabled. This ensures that attendees only see payment methods that apply to their selected tickets.
Personalize the Registration Experience
The journey doesn't end after someone clicks Register.
You can customize the post-registration message shown specifically to attendees who choose offline payments. This gives you an opportunity to explain the next steps, expected timelines, or required actions.
For example, your message might include:
"Thank you for registering. Please complete the payment via bank transfer within five business days and share the transaction details with our team for confirmation."
In addition, the email template for offline registrations can also be customized independently. This helps maintain consistent communication and provides attendees with all the information they need in one place.
Configure Payment Gateway Charges
Some organizers choose to absorb payment gateway charges, while others pass them on to attendees.
The Offline Payments feature allows you to define the percentage of payment gateway charges applicable to your event, giving you greater flexibility in managing transaction costs and pricing structures.
Managing Offline Payment Requests
All offline payment requests are collected in a dedicated section:
Participants → Offline Payments
From here, organizers can review every pending request and take appropriate action.
You can:
Approve a payment request.
Upload and attach proof of payment.
Directly accept the payment and send the registration confirmation.
Keep a request on hold while waiting for additional information.
Reject a request if payment requirements are not met.
This centralized workflow makes it easier for event teams to coordinate and track manual transactions without relying on spreadsheets or external tools.
Automatic Seat Release on Rejection
One of the challenges with manual payments is managing ticket inventory.
If an offline payment request is rejected, the system automatically releases the reserved seat back into the available pool. This ensures that valuable tickets do not remain blocked unnecessarily and can be booked by other attendees.
The process remains transparent for organizers while keeping registrations moving smoothly.
Benefits for Organizers
Instead of asking participants to wait until their payment is approved or processed, organizers can secure registrations immediately while completing the financial process later. This results in:
Higher registration conversion rates by eliminating payment-related friction.
Reserved seats or booths for serious buyers.
Faster onboarding of enterprise and institutional participants.
Greater flexibility in accommodating different payment workflows.
Improved attendee experience without compromising financial control.
Offline Payments make your registration process more inclusive, allowing you to serve individual attendees, enterprises, educational institutions, sponsors, exhibitors, and government organizations—all within the same event registration workflow.
Bringing Flexibility to Event Registrations
Offline Payments bridge the gap between digital registrations and traditional financial processes.
They give attendees the freedom to secure their place immediately, while allowing organizations to complete payments according to their internal workflows.
For event organizers, this means fewer lost registrations, better support for enterprise customers, and a more inclusive payment experience for every participant.
Sometimes, making registration easier isn't about adding another payment option, it's about accommodating the way people already work.
